Privacy Policy

Last updated: 14th May 2021

By using this online service you accept the handling of any personal data in accordance with the Privacy Policy (as may be amended from time to time) as part of the Terms of use of this service.

1. Definitions

Data Controller – The Maranatha Community Trust – charity no 327627 registered with the Charity Commission for England and Wales. Contact details below.

Data Subject – You – individuals who we hold data about.

Data Protection Lead – The Maranatha Community Office Manager – Charles Parker.

Data Processors – Other organisations who process data on our behalf. These include: IONOS 1&1, Constant Contact Inc, Just Giving and PayPal.

The Data Protection Lead, on behalf of the Data Controller, decides on how your personal data is processed and for what purposes.

2. Your personal data – what it is –

Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the Data Controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”).

3. The types of personal data we collect –

3.1. Identity, Profile, Contact, Communications and Correspondence Data

When you sign up to be a member of Maranatha, either on a paper form, by telephone, by email or via our website, we will collect your name, title (Mr, Mrs, Miss etc), address, phone numbers, email address, and details of any abilities or skills you choose to tell us about or subjects you may be particularly interested in. We will also record details of your mailing preferences (ie. email / post / none).

If you attend one of our gatherings, courses or retreats etc. we will record this each time you attend (unless you ask us not to) so we can contact you in the future about any similar events which may interest you, and so we can gain statistical information about our events.

If you then go on to sign up to our online communications platform then you will be asked to create a username and password, and you have the option to upload a profile-photo of yourself. You may also choose to volunteer other information about yourself.

3.2. Financial and Transaction Data

If you give money to Maranatha or pay to come on one of our events, or buy something from our bookshop, then we will record the fact that you have made a purchase or gift against your name in our main database but not the amount. The amount will be recorded separately in our finance spreadsheets and if the transaction was made online then it will be shared with our other Data Processors which include PayPal for all purchases and BT for online gifts through our website online-giving module.

3.3. Special Category Data

Some types of data are classed as Special Category Data under GDPR Regulations. These include race, ethnic origin, politics and religion. Maranatha does not specifically record any of these, however by signing up to be a member of Maranatha you are deemed to be a Christian. If you choose to sign up to our online communications platform then you may choose to share information that may include special category data – eg your profile photo may indicate your ethnic origin.

In addition volunteers working in certain roles will be subject to criminal records checks and details of criminal convictions and offences will be stored separately to our main database in accordance with Appendix B to our Safeguarding Policy which deals with the Secure Storage, Handling, Use, Retention and Disposal of Disclosures and Disclosure Information.

3.4. Technical and Usage Data

If you interact with Maranatha via a computer, by email, through our website, or other communications platform (inc social media) we may collect ‘online identifiers’ including IP addresses, login data, device type profiles (including operating system and browser information), time-zone settings and location, system logs and cookies (text-only strings of information known as ‘session’ and ‘persistent’ cookies). Cookies enable the proper functioning, activity data and ongoing developments of our services and are set for each domain used by the website. You may remove cookies at any time with your browser settings; but if you choose to do so then our website may not function properly for you. Information about cookies and visitor options can be easily found online (http://en.wikipedia.org/wiki/HTTP_cookie).

4. How we process your personal data –

Your personal data is processed both within the Maranatha Community Office and by our Data Processors. We comply with our obligations under the GDPR by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

We use personal data for the following purposes:

  • To communicate with members via Newsletters, emails and social media platforms
  • To assist with the running of Local Maranatha Groups, gatherings and retreats etc.
  • To manage our employees and volunteers
  • To maintain our accounts and records (including the processing of Gift Aid applications)
  • To provide our online services
  • To inform our members of any needs for prayer
  • To inform our members of any financial needs.

5. The legal basis for processing your personal data –

  • Explicit consent of the data subject is used so that we can keep you informed about news, events, resources, prayer requests, and financial needs.
  • Legal obligation is used to process Gift Aid, donations, employment of staff, and criminal records checks for volunteers working in certain situations (eg Children & Families Weekends)
  • Contractual basis is used regarding your data in the case of payments for events and purchase and delivery of products from our bookshop.
  • Legitimate interests will be used where trends in website usage data are reviewed to improve our services. This data is stored in a manner which means it is not readily associated with your account.
  • Data may be processed by Maranatha as a ‘not-for-profit charity with a religious aim’ provided that this processing relates only to members or former members (or those who we have regular contact with) and provided that there is no disclosure to a third party without consent.
  • Data may be processed by Maranatha where the personal data has been manifestly made public by the data subject – eg they’ve published it on their own website.

6. How we store and secure your personal data –

Our principal data store is the Members Database which is held on our secure server located in the UK. Data which is entered into one of our online systems is retained by the provider of that system in accordance with their own Privacy Policy. These include Constant Contact for emails, PayPal for purchases, JustGiving for donations, and IONOS for our Community communication platform. Their servers are located within the European Economic Area.

We maintain appropriate organisational and technological safeguards to help protect against loss, misuse or unauthorised access, disclosure, alteration or destruction of the information we hold about you. We also seek to ensure our service providers do the same. Unfortunately, no system can be guaranteed as completely secure and there is an inherent risk in transmitting information over the internet. It may be possible for an unrelated party to intercept or access such transmissions unlawfully. If you believe that your personal information under our control has been compromised, including access to any accounts you hold with our services, please contact us immediately.

7. Sharing your personal data –

Your personal data will be treated as strictly confidential and will only be shared with office staff (paid employees and trusted volunteers) and Group Leaders of those local groups that members have attended.

We don’t share your data with any other organisations except for certain third-party services, but only so we can fulfil the purposes intended when you supplied the data to us. These include Constact Contact Inc for our mass-mail emails, IONOS for personal emails and the maranathacommunity.one information sharing platform, and PayPal for purchases. We reserve the right to use other similar services in the future, eg ChurchSuite or Eventbrite. Your data shared with third-party services will be subject to their own privacy policies.

Our online services and publications may contain links or references to and from third-party services. Clicking on those links or enabling those connections may allow third-parties to collect or share data about you. Please check the relevant third-party privacy policies before you provide any personal data to them.

Your data may also be shared in the case of a legal obligation on us to do so, and if you contribute inappropriate or objectionable content on our services, or where we reasonably believe you may be in breach of the law, we may report your content and behaviour to relevant authorities.

8. How long we keep your personal data –

We retain Maranatha members details for a minimum of two years after support or contact has ceased. We are legally obliged to retain Gift Aid declarations and associated financial paperwork for up to 6 years after the calendar year to which they relate.

Data gathered by online sign-up and usage is kept as long as the user account remains valid. If you choose for your data to be deleted we will remove your account and associated data within the legislated time frame, except that which we are legally obliged to hold (see above).

We retain staff and volunteer records for up to 10 years after the staff member or volunteer has left the community, in order to be able to deal with any subsequent query relating to their time with us. If staff or volunteers have been subject to DBS or criminal records checks, then the data relating to that will be kept in accordance with Appendix B to our Safeguarding Policy which deals with the Secure Storage, Handling, Use, Retention and Disposal of Disclosures and Disclosure Information. This can include keeping such data for 50 or more years depending on legal requirements.

9. Your rights and your personal data –

The General Data Protection Regulation 2018 gives you a number of rights including:

  • The right to request access to any information we hold about you.
  • The right to have your data corrected if it is inaccurate or to have incomplete data completed
  • The right to move, copy or transfer your personal data
  • The right to be informed about our processing of your personal data
  • The right to object to or restrict the processing of your personal data
  • The right to have your data erased or forgotten.

Some rights are complex and for a full explanation of these rights you should read the relevant laws and guidance from the regulatory authorities. Good information about your rights can be found online from the UK’s Information Commissioner’s Office (ICO) at https://ICO.org.uk/your-data-matters/

You have the right to complain to the Information Commissioner’s Office, which has the power to investigate and enforce compliance with data protection law.

10. Manage your personal data and consent choices –

If you wish to change the data that the Maranatha Community holds about you then please contact the Maranatha Office.

You can at any time choose to join or come off our postal mailing list, and/or email mailing list, by contacting the Maranatha Office.

You can change the information you receive from our online communications system by changing the topics you are subscribed to – contact the Maranatha Office for help in how to do this.

11. Further processing –

If we wish to use your personal data for a new purpose, not covered by this Data Privacy Policy, then we will provide you with a new policy explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.

12. Changes to this Privacy Policy –

This Privacy Policy is effective as of the ‘Last updated’ date above and will remain in effect except with respect to any changes in its provisions in the future. We reserve the right to update or change our Privacy Policy at any time and such changes will be in effect immediately after being posted in the Terms and Conditions section of the Maranatha Website.
